Upload many products from your own file

Upload your product sheet or PDF price list as it is — your own layout, several sheets, photos inside the workbook — match its columns to Atlantis fields, review every row, then import.

For: Suppliers

Open Bulk upload from Inventory & Products. You don’t need to copy your offer into a template: the importer reads your file and shows you how it understood it. Nothing is saved until the last step.

The steps

  1. 1Upload your .xlsx, .xls or .csv file, or a PDF price list. Several sheets, two-row headers, brand headings between rows and product photos placed in cells are all read. Photos stay on your device until you import.
  2. 2Check rows (PDF only). A PDF has no cells, so Atlantis rebuilds its table and shows every row next to a picture of its page. Correct any value that was read wrongly and untick rows that aren’t products; the value from the PDF stays beside each correction. Rows to look at closely are marked with the reason — for example text that sat between two rows.
  3. 3Match columns. Each of your columns is shown with sample values and the Atlantis field it fits, with the reason. “Matched” is certain; “Check” is a suggestion to confirm; “Choose” means the column could mean more than one thing — for example a plain “Price” column, which could be per piece, per case or per display.
  4. 4Review every row. Open a row to see each of your columns, what the cell said, and the value Atlantis will save. Errors, warnings and drafts are listed with the reason.
  5. 5Confirm & import. Tick the confirmation and import. You get a report of what was actually saved, which you can download as a CSV file.

PDF price lists

  • PDFs exported from Excel, Word or an ordering system work best: tables, names over several lines, a table that continues on the next page without its header, and one-product offer sheets (“Price per piece: …”) are read.
  • Scanned PDFs (pictures of pages) can’t be read — text recognition (OCR) isn’t available. Upload the spreadsheet version instead.
  • Password-protected or damaged PDFs are refused with the reason. A brochure with only pictures and names has no price table to read.
  • Up to 4 MB and 40 pages. Offer terms printed around the table (such as an MOQ or a date) are listed for you but not imported; set them in the next step if they apply to every product.
  • A column called just “Price” or “Price at €” is never assumed to be per piece or per case: you choose.

Photos by barcode (optional)

In the review, rows without a photo can be looked up by barcode in the Open Food Facts family of databases (Open Food Facts for food and drinks; Open Beauty, Products and Pet Food Facts for other products). Only the barcode is sent, and nothing is added to those databases.

  • A photo is pre-selected only when the barcode, the name or brand and the pack size all match. For cleaning and personal-care products a photo is never pre-selected. You can untick any photo.
  • Your own photos are never replaced.
  • These are community photos under the CC BY-SA 3.0 licence. Their source and licence are saved with the product and credited next to the photo on its page.
  • The databases allow about 12 lookups a minute, so a long file takes a while. You can import without waiting, and a lookup that fails never blocks the import.

When your file doesn’t have a field

Atlantis lists what it needs next to your columns. For a field your file doesn’t have, you can choose where the value comes from:

OptionUse it for
One value for every rowFor example the EXW location, a stock figure or a minimum order that applies to the whole offer.
A different value for each sheetWhen each sheet is a different category or origin.
The section headings in the sheetOffers that put the brand above its products, e.g. “MENTOS” followed by Mentos rows.
Read from the product nameWeight (“450g”), or a brand already on Atlantis at the start of the name.
Leave emptyThe products are saved as drafts for you to finish.

Good to know: Atlantis never fills in a missing value on its own. A suggestion found in your file — such as “EXW BELGIUM” in a heading — is shown with where it was found, and you can change it.

What is checked

  • Barcodes: length and check digit. A cell with two codes (“piece / case”) is split; the case code is kept in the import record.
  • Prices: a price per piece or per display is converted to a price per case. A price far from the rest of the file (per kg) is flagged — usually a price on a different basis.
  • Prices that hold more decimals than the cell shows: you choose which one is your price.
  • Minimum order text such as “full pallets”, “1 pal” or “full layers” (layers become cases when your file gives cases per layer).
  • Packaging cross-checks: pieces per case against pieces per display × displays per case, and cases per pallet against cases per layer × layers.
  • Weight against the size in the product name.
  • Duplicates in the file (same barcode twice) and products already in your catalog.
  • A second barcode column must agree with the first; rows where they differ are blocked until you fix the file.
  • A 14-digit barcode starting with 1–8 is flagged: it usually identifies the case, not the piece.
  • Pieces per pallet, when your file gives it, against pieces per case × cases per pallet. Stock given in pallets is converted to cases.
  • A “Manufacturer” column is kept in the import record; the brand comes from a Brand or “Trade Mark” column.

Products already in your catalog

Rows with a barcode already in your catalog (or, without a barcode, the same name) are left as they are, or updated if you choose. An update shows each change as old → new, applies only values that came from your file, never clears a saved value, and keeps your current photos. A row with an error never touches a saved product.

Columns that aren’t product fields

Your article code, case and display barcodes, pieces per display, cases per layer and similar columns are recognised and used for the checks above. They aren’t product fields on Atlantis, so they are kept with each product’s original row (its import record) rather than shown to buyers.

Limits

  • Up to 2,500 product rows per upload.
  • Without its photos, a spreadsheet must be under 4 MB. A PDF can be up to 4 MB and 40 pages.
  • Photos in JPEG, PNG, GIF or WebP; other picture formats are reported and skipped.

Tip: Prefer a template? Download it from the upload step — a blank template with every column in the right format and an Instructions sheet, or a completed example with three made-up products.
